Engineering Document Control Specialist

 

The Document Management Specialist manages documents and records of the Americas Engineering Department.

 

Duties/ Responsibilities:

 

  • Establishes and implements policies and procedures regarding document storage, sharing, transmission, and destruction.
  • Evaluates existing document management systems and procedures to determine current effectiveness and efficiency; identifies, recommends, and implements improvements.
  • Ensures effectiveness of document control/management with 3rd party engineering firms.
  • Ensures security of system and integrity of master documents by implementing document and system access rights and revision controls.
  • In coordination with the Project Manager, completes documentation transfer as part of the Handover for Beneficial Operations.  Ensures the Operations team has what it needs to effectively operate the facility, and ability to control documentation revisions into the future.
  • Ensures company complies with applicable laws and regulations regarding data security and document management.
  • Consults with others within the engineering department to identify problems in accessing electronic content. Communicates and consults with other staff when assessing, acquiring, or deploying new electronic document management systems to ensure smooth transition and minimal disruption.
  • Maintains current knowledge of best practices and developments in document management technologies and techniques through participation in professional organizations or conferences, attendance at meetings or workshops, participation in educational programs, and discussions with colleagues.

 

Qualifications:

  • At least eight years of experience managing documentation associated with the engineering, design, pre-construction, construction and closeout of capital projects or related activities.
  • Experience in chemicals, oil and gas, or consulting is preferred.    
  • Familiarity with standard records and document management systems.  ie. Aconex
  • Proficient in Microsoft Office Suite, Sharepoint, and other common electronic document management system is required.  AutoCAD basic capabilities is preferred.
  • Excellent organizational skills and attention to detail are crucial for success in this role.
  • An understanding of regulations regarding document management is required.
  • Bachelor’s degree in a technical discipline/related field is a plus.
